Estates Officer
Based at Littlemore Mental Health Centre, Oxford OX4 4XN
Full time – 37.5 hours per week.
Monday to Friday 0800-1600
Band 6 - £24.61/hr

Temporary role for 12 months that could turn permanent depending on performance and budget sign off.

Oxford Health NHS Foundation Trust is looking for an experienced and motivated Estates Officer to join their Estates team. This is an excellent opportunity for an estates professional who wants to play a key role in maintaining safe, efficient and high-quality healthcare environments across their estate. You will bring strong technical knowledge, practical estates experience and excellent people skills, alongside a positive, customer-focused approach.

The role

As an Estates Officer, you will support the effective management of our estate, working across a diverse portfolio of NHS properties. You will provide visible leadership, coordinate maintenance activity and help ensure that our buildings, infrastructure and services meet the required standards.

You will manage and prioritise a varied workload, making effective decisions when competing demands arise. You will work closely with engineers, contractors, colleagues, managers and other stakeholders, translating technical information clearly for both technical and non-technical audiences.

The role will include:

• Managing and delegating maintenance work across a team of up to 20 engineers.
• Providing visible and effective leadership, supporting a positive team culture and constructive working relationships.
• Using your knowledge of building structures and fabric to support effective estates management.
• Applying relevant NHS Health Technical Memoranda (HTMs), Health Building Notes (HBNs) and estates requirements.
• Supporting the delivery of safe, efficient and customer-focused maintenance services.
• Reviewing and analysing complex information and presenting findings to a range of audiences.
• Analysing method statements and supporting the interpretation and implementation of Safety Rules and Workplace Risk Assessments.
• Maintaining accurate records and producing clear, professional reports.
• Using Computer Aided Facilities Management (CAFM) systems and other IT systems effectively.
• Using Excel and Microsoft Office to manage, analyse and present information.
• Supporting continual improvement across estates services, with a strong focus on safety, efficiency and service quality.
• Building effective relationships across the Trust and with external organisations and contractors.
• Attending national meetings and conferences occasionally, where required.

About you

You will have previous estates maintenance experience and a good practical and theoretical understanding of building structures and fabric. You will have experience of managing maintenance activity and delegating work effectively, ideally within a large commercial, FM, construction or Estates environment.

You will have:

• HNC or equivalent qualification in a relevant subject, with good knowledge of CAFM systems, IT and Microsoft Office, including strong Excel skills.
• Strong analytical, problem-solving and decision-making skills, with experience analysing, interpreting and presenting complex data and maintaining accurate records.
• Excellent written and verbal communication skills, including report writing and the ability to communicate technical information clearly, negotiate and build effective working relationships.
• Strong organisational and time-management skills, with the ability to work independently and as part of a team, manage competing priorities and perform effectively under pressure.
• A professional, resourceful and customer-focused approach, with a commitment to safety, efficiency, quality and continual improvement.
• Experience interpreting Safety Rules and Workplace Risk Assessments, with the flexibility to travel between Oxford Health NHS Foundation Trust sites and work flexibly when required.

Desirable experience and knowledge

• Knowledge of HTM and HBN requirements relating to estates management, with experience of NHS PLACE inspections and/or working within a large commercial estate.
• IOSH Managing Safely qualification, or willingness to complete it.
• Proven leadership and staff-management experience, including the ability to analyse method statements.
• Previous office administration experience within construction, services, facilities management or estates, ideally within the NHS.
• These are desirable rather than essential, and we welcome candidates with different combinations of relevant experience and expertise.
